The tecwork team recently completed a turn key office relocation project for Ice Organisation Ltd in Tunbridge Wells, Kent.

The Challenge

Due to their rented office space being turned into residential accommodation, they were faced with moving their office and 20 staff into new premises.

They used an old AVAYA IP Office phone system on ISDN – they had published phone numbers which they wished to retain and move seamlessly.

They used a number of servers for their staff and of course everyone used a desk top PC…all of this needed relocating.

The new office in Tunbridge Wells was a bare shell so it needed new voice and data cabling infrastructure and a fast internet connection with a back-up service.

As with most relocation projects, there was a deadline to keep to.

“Ice needed to relocate their head office within Tunbridge Wells and having a desire to support local business and previously experienced the quality of their work, we selected tecwork to design and deliver our new IT infrastructure. “

The Solution

After several meetings discussing and planning the details, the project commenced and our first task was to establish the options for internet connectivity and complete a survey for network cabling.

We visited the new office and quickly identified a fibre optic presence from BT Openreach which meant that a direct Fibre Ethernet Leased line would be the best option and since fibre was already present, it would be an easy task to install it in the new comms room even though it had not be extended before to that area – cost being covered by the UK government subsidy. A 100Mb Converged Leased line with Fibre broadband back up wad ordered and installed – ‘converged’ meaning it could be used for VoIP reliably and with superior call quality as well as normal internet use.

A new comms room was agreed and a plan agreed for structured cabling to be installed for both voice and data, totalling over 100 outlets, with new network switches.

A port order was placed to port all the published phone numbers to a new Gamma Horizon Hosted phone system with free handsets, free calls and support included.

All IT infrastructure was moved over a weekend and staff left their old office on the Friday and walked into their new office on the Monday morning.

Jayne continues:

“Our existing office infrastructure was out of date with core components at end of life, restricting performance and plans for future growth, so we worked with tecwork to ensure the new solution was fully scalable to meet our business plans and our strict budget demands.”

The Result

A seamless relocation was completed with zero disruption or downtime for staff.

Jayne comments further:

“The new IT infrastructure was professionally installed to agreed timescales and budgets, thoroughly tested and proved prior to the move date. The tecwork team were onsite early on the Friday to assist with the decommissioning of our old office IT and relocating servers to the new office allowing our staff to be up and working on the Monday morning minimising business disruption and staff downtime.”
